Zapier does not replace GoHighLevel, and GoHighLevel only partly replaces Zapier
GoHighLevel and Zapier do different jobs: GoHighLevel is the all-in-one platform where an agency keeps client contacts, pipelines, funnels, calendars and messaging, and Zapier is a hosted connector that passes data between more than 9,000 apps without storing your CRM. You would not move a client from one to the other. The real question is how much of your automation HighLevel's own workflows can handle before you pay for Zapier as well.
For automations that begin and end inside HighLevel, the answer is all of it. Zapier earns its place when a client's lead source, spreadsheet or billing tool has no native HighLevel connection.
Entry prices on 3 October 2026: HighLevel Starter and Zapier Free or Professional
HighLevel Starter costs $97 a month or $970 a year and includes three sub-accounts with unlimited users and contacts.
Zapier's Free plan costs $0 and includes 100 tasks a month with two-step Zaps. Professional starts from $29.99 a month on monthly billing, or $19.99 a month when paid yearly. Team, whose plan card lists 25 users, starts from $103.50 a month on monthly billing or $69 a month paid yearly. All four figures were read with the currency selector on USD, and each is a starting price that rises with the task tier you choose. New accounts get a 14-day trial of Professional with no card required.

Automation depth: what HighLevel's Zapier app can and cannot do
HighLevel appears in Zapier under the name LeadConnector. Its Zapier listing shows one trigger and five actions, which is a small surface compared with what HighLevel workflows do internally.
- Trigger: Pipeline Stage Changed, marked as instant.
- Actions: Add or Update Contact, Add or Update Opportunity, Add Lead to Workflow, Stop All Workflows for Lead, and Add Task.
The useful pattern is to let Zapier collect the lead from an outside app, then use Add Lead to Workflow so that HighLevel sends the texts and emails. That keeps most steps off the Zapier meter. The GoHighLevel Zapier integration guide walks through it.
Cost runs on both sides. Every successful Zapier action uses a task, and a Zapier MCP tool call uses two. On the HighLevel side, inbound and custom webhooks are premium workflow steps at $0.01 per execution after 100 free ones per sub-account.
Who needs HighLevel only, Zapier only, or both
- HighLevel only: agencies whose client automations are follow-up sequences, reminders and pipeline moves. Adding Zapier would be paying twice.
- Zapier only: a small business that already has a CRM it likes and just wants its form tool, spreadsheet and chat app to talk to each other. The Free plan covers a two-step automation at up to 100 tasks a month.
- Both: agencies whose clients use tools with no HighLevel connection. Budget for Professional at least, since multi-step Zaps, premium apps and webhooks are listed as Professional features.
Teams that would sooner host their own automation and pay per workflow run should read GoHighLevel vs n8n. Before adding any connector to a client account, decide who owns the Zapier login, a point covered under client-owned tools.
What switching involves: moving Zaps into HighLevel, or adding Zapier to it
Replacing Zaps with HighLevel workflows: there is no import. List each Zap, find the matching HighLevel trigger and actions, and rebuild it. Zaps that only touch HighLevel records are the simplest to convert. Zaps that read from an outside app need a native integration, a marketplace app or an inbound webhook in its place.
Adding Zapier to HighLevel: create the Zap, connect the LeadConnector account, map fields and test with one contact before turning it on. Zapier pauses Zaps when a plan's task limit is reached unless pay-per-task billing is on, and that billing adds charges on top of the plan price, so check the task count after the first full month.
